Job Details

The Role The People & Culture Executive supports the People & Culture Manager in the effective delivery of day-to-day Human Resources operations and administration. The role provides support across the full employee lifecycle, including recruitment, onboarding, payroll administration, employee relations, learning and development, employee engagement, and HR compliance. The successful candidate will be highly organized, detail-oriented, comfortable working with numbers and HR systems, and capable of managing multiple priorities in a fast-paced hospitality environment. Key Responsibilities Recruitment & Onboarding - Support the recruitment process, including job advertisements, candidate screening, interview coordination, and candidate communication. - Coordinate pre-employment requirements and ensure all necessary documentation is completed prior to commencement. - Prepare employment contracts, offer letters, and other employment-related documentation. - Coordinate onboarding, orientation, and induction programs for new team members. - Ensure new hires are properly registered and updated in the relevant HR systems. Payroll & HR Administration - Support the monthly payroll process by ensuring employee information, attendance, overtime, allowances, deductions, leave, and other payroll-related data are accurate and submitted within the required timeline. - Calculate freelancer fees and prepare the necessary supporting documentation for payment processing. - Maintain accurate employee records, personnel files, and HR system information. - Process employee movements, including new hires, confirmations, transfers, promotions, contract renewals, and resignations. - Administer leave and attendance records and follow up on discrepancies where required. - Prepare HR letters, employment certifications, and other official employee documentation. - Maintain proper documentation and filing standards to ensure HR records are complete, accurate, and confidential. Employee Relations & Engagement - Serve as a point of contact for employees on general HR matters, policies, benefits, leave, and workplace-related queries. - Provide appropriate guidance to employees while escalating sensitive or complex matters to the People & Culture Manager when required. - Support employee relations matters, including documentation, meetings, and follow-up actions. - Assist in planning and coordinating employee engagement, wellbeing, recognition, and staff activities. - Promote a positive, respectful, inclusive, and collaborative workplace culture. Learning & Development - Coordinate internal and external training programs, including scheduling, attendance, and training administration. - Maintain accurate employee training records and monitor completion of mandatory training requirements. - Support performance management processes, including probation reviews, performance evaluations, and employee development initiatives. - Assist in identifying training and development needs in collaboration with department leaders. HR Reporting & Compliance - Prepare and maintain regular HR reports, trackers, headcount information, and other workforce data. - Ensure HR documentation and practices are aligned with applicable employment legislation, internal policies, and company standards. - Maintain strict confidentiality when handling employee records, payroll information, and sensitive HR matters. - Support internal and external HR-related audits and ensure required documentation is properly maintained. - Assist the People & Culture Manager with HR projects, initiatives, and other duties as required. Qualifications & Experience - Diploma or Degree in Human Resources, Business Administration, Hospitality Management, or a related discipline. - Previous experience in Human Resources or People & Culture, preferably within the hotel, hospitality, or service industry. - Experience in HR administration, payroll support, recruitment, and employee lifecycle processes would be advantageous. - Familiarity with HR information systems, particularly QuickHR, would be an advantage. - Proficient in Microsoft Office applications and comfortable working with digital HR tools and systems.
