Responsibilities
- Coordinate recruitment activities including job advertisements, interview scheduling, and candidate follow-up to secure qualified talent
- Manage onboarding processes and maintain accurate employee records, personnel files, leave, and attendance data for compliance and reporting
- Support payroll preparation by compiling overtime records and HR documentation to ensure timely and accurate salary processing
- Administer work pass applications, training schedules, medical records, and other employee-related administrative tasks to maintain workforce readiness
- Oversee office administration functions such as correspondence, filing, and document control to ensure smooth daily operations
- Supervise administrative staff to optimize team performance and maintain efficient office workflows
- Collaborate with project, manpower, finance, and management teams to align HR and office operations with business objectives
- Prepare HR reports, manpower summaries, and management updates to inform decision-making and track workforce metrics
- Ensure all HR practices and records comply with Singapore employment laws and regulations to mitigate legal risks
- Facilitate employee engagement initiatives, manage disciplinary documentation, and support performance administration to promote a positive work environment
- Identify and implement improvements in HR and administrative processes using digital and AI tools to enhance efficiency and accuracy
Required competencies and certifications
- Diploma or Degree in Human Resources, Business Administration, or related field
- Minimum 5 years of relevant HR and office administration experience
- Good knowledge of Singapore HR practices and employment administration
- Experience in manpower, construction, engineering, or project-based companies
- Strong organisational, communication, and people-management skills
- Proficiency in Microsoft Office and HR/administrative systems
- Ability to work independently and manage multiple priorities
