Position Overview We are looking for a reliable and organised Part-Time HR Assistant to support our HR function with day-to-day administrative and coordination activities. This role is suitable for someone who is detail-oriented, responsible and comfortable handling confidential employee information. You will work closely with the HR Manager to ensure HR records, documentation, employee administration and follow-ups are completed accurately and on time. The role provides an opportunity to gain broad exposure to HR operations within a dynamic SME environment. Key Responsibilities HR Administration - Maintain and update employee records, HR databases and personnel files. - Prepare and organise HR documents, letters, forms and other employment-related documentation. - Assist with maintaining accurate records for leave, attendance, medical claims and other employee matters. - Assist with the preparation and maintenance of HR reports, trackers and records. - Ensure HR documentation is properly filed and maintained. Recruitment Support - Assist with job advertisements and recruitment administration. - Coordinate interview schedules and communicate with candidates. - Maintain recruitment trackers and candidate records. - Assist with onboarding documentation and pre-employment administrative arrangements. - Support new employee onboarding and documentation as required. Employee Administration - Assist with employee onboarding and offboarding processes. - Prepare documents relating to employee movements, confirmations, transfers and other HR matters. - Assist with maintaining training and employee development records. - Follow up with employees and relevant departments on outstanding HR documentation or information. Payroll & Statutory Administration Support - Assist with the preparation and checking of payroll-related information. - Support the HR Manager with CPF, leave, claims and other HR administrative matters. - Assist with maintaining records required for statutory and internal reporting. - Ensure information provided for payroll and HR processing is accurate and complete. General HR Support - Follow up on outstanding HR administrative matters and ensure timely completion. - Respond to routine employee enquiries or refer matters to the HR Manager where appropriate. - Assist with HR events, employee activities and other administrative arrangements when required. - Perform other reasonable HR administrative duties assigned by the HR Manager. Key Requirements - Diploma or equivalent qualification in Human Resources, Business Administration or a related discipline. - Candidates currently pursuing a relevant qualification or with relevant HR administrative experience are welcome to apply. - Prior experience in HR administration, office administration or a similar support role is preferred. - Good organisational and time-management skills. - Strong attention to detail and accuracy. - Good written and verbal communication skills. - Proficient in Microsoft Office, particularly Word and Excel. - Comfortable working with spreadsheets, records and administrative systems. - Able to handle confidential employee information with professionalism and discretion. - Reliable, responsible and able to follow through on assigned tasks. - Able to work independently while also working effectively with the HR Manager and other departments.
