TECHLEAD TECHNOLOGY PTE. LTD. is seeking a Human Resource Assistant to support the full spectrum of HR functions with a focus on worker-level employees, alongside day-to-day office administration. The role involves managing recruitment, work permit applications, employee records, and various administrative duties in Singapore. Candidates with relevant HR experience and familiarity with MOM requirements are preferred.

HR & Administration Assistant Job Responsibilities Human Resources - Support the full spectrum of HR functions, with a primary focus on worker level employees, including recruitment, onboarding, offboarding and employee administration. - Assist with job postings, interview scheduling, candidate coordination and preparation of employment documents. - Process Work Permit applications, renewals, cancellations and related employment matters in accordance with MOM requirements. - Maintain employee attendance, leave records, medical claims, Integrated Health Plan (IHP), safety shoe claims and employee benefits. - Maintain accurate employee records, personnel files, HR documentation and Info-Tech HRMS records. - Coordinate dormitory arrangements, OFWAS updates, Primary Care Plan (PCP) registration, employee insurance and other foreign worker administration matters. - Coordinate employee training and maintain relevant ISO training records and documentation. - Support compliance with the Employment Act, MOM requirements, Company policies and applicable statutory requirements. - Liaise with government agencies, insurers, training providers, vendors and other external service providers on HR matters. Administration & Office Management - Manage day-to-day office administration and provide administrative support to Management and various departments. - Check, collect and distribute incoming mail from the Company letterbox daily. - Arrange courier services and coordinate local and overseas shipments, including FedEx online shipment processing. - Procure and maintain office supplies, stationery, uniforms, name cards, pantry supplies and other office necessities. - Coordinate office and facility maintenance, including air-conditioning servicing, internet and mobile subscriptions, water supply and office equipment. - Coordinate with vendors and service providers to ensure maintenance and services are completed on schedule. - Monitor office cleaning services and verify that services have been properly completed. - Check vendor invoices for accuracy and prepare the necessary payment vouchers/supporting documents for processing. - Maintain organised filing systems and ensure proper record keeping for HR and administrative documents. - Perform other HR and administrative duties as assigned by Management. Requirements - Diploma in Human Resources, Business Administration, Management or a related discipline. - Relevant HR and/or administrative experience is preferred. - Experience handling Work Permits and foreign worker administration in Singapore will be an advantage. - Familiarity with MOM requirements, HRMS systems and general HR administration is preferred. - Proficient in Microsoft Office applications, including Word, Excel and Outlook. - Good organisational and administrative skills with strong attention to detail. - Able to handle confidential employee information professionally. - Good communication and interpersonal skills. - Able to coordinate effectively with employees, Management, government agencies and external vendors. - Able to work independently, follow up on outstanding matters and manage multiple tasks. - Responsible, organised and willing to learn.
