Operations Specialist
Job Summary
As an Operations Specialist, you will support fund operations, brokerage, and custody activities in a regulated financial institution. You will work closely with investment, client coverage, and technology teams to ensure operational efficiency. This role offers an opportunity to gain expertise in digital assets and process improvement within a fast-paced environment.
Responsibilities
- Manage fund subscriptions, redemptions, and investor transactions.
- Perform daily cash, position, and digital asset reconciliations.
- Coordinate with internal teams and external service providers.
- Execute regulatory reporting and internal/external audits.
- Drive process improvement and automation initiatives.
Required Skills
- Degree in Finance, Accounting, or Business.
- 1-3 years of experience in fund or brokerage operations.
- Strong proficiency in Excel (Power Query, VBA, SQL, Python).
- Understanding of digital assets and financial regulations.
- Analytical and organizational capabilities.
Job Details
Key Responsibilities
Fund Operations
- Process fund subscriptions, redemptions, transfers and other investor transactions accurately and in a timely manner.
- Perform reconciliations and investigate exceptions, discrepancies and operational breaks.
- Support NAV review and fund accounting oversight activities.
- Coordinate with portfolio managers, fund administrators, transfer agents and other service providers to ensure smooth operational execution.
- Support fund audits, regulatory reporting and fund-related operational projects.
- Support fund launches, product enhancements and other operational initiatives.
- Ensure adherence to internal controls, operational procedures and regulatory requirements.
Brokerage & Custody Operations
- Support client onboarding and account maintenance activities.
- Process, monitor and reconcile fiat and digital asset transfers.
- Perform daily cash, position and digital asset reconciliations and resolve reconciliation breaks in a timely manner.
- Support custody, staking and fee-related operational activities.
- Prepare operational, regulatory and management reports.
- Support internal audits, external audits and regulatory reporting requirements.
- Monitor operational exceptions and ensure timely escalation and resolution of issues.
- Collaborate with internal stakeholders and external counterparties to support efficient and controlled operational processes.
Projects & Process Improvement
- Participate in operational projects and business initiatives.
- Identify opportunities to improve operational efficiency through process enhancement and automation.
- Support the implementation, testing and enhancement of operational systems and workflows.
- Assist in documenting operational procedures, controls and best practices.
- Support data quality, reporting and process optimization initiatives across operations functions.
Requirements
- Degree in Finance, Accounting, Business or a related discipline.
- 1-3 years of relevant experience in fund administration, investment operations, securities operations, banking operations, custody, brokerage operations or a related financial services environment.
- Understanding of investment funds, reconciliations, cash management and operational processes.
- An interest in digital assets and emerging financial technologies; prior exposure to digital asset or cryptocurrency operations would be advantageous but is not required.
- Strong Excel skills including data analysis, reconciliations and reporting; familiarity with Power Query, VBA, Python, SQL or workflow automation tools would be an advantage.
- Strong analytical, communication and organisational skills.
- Ability to work independently, manage multiple priorities and meet deadlines in a dynamic environment.
